Brewster Chamber of Commerce Board/Committee Meeting March 1, 2018

At the American Legion 12:00PM

Attendance: Anna, Leslie, Martin, Dan, Mike, Manny came late

Budget: Leslie went through what she had done and we all discussed it and after much review a MOTION to Approve the Budget, second and approved.

Dan suggests we make a note of where are at now with our bank statement and see how close we are next year.

We have insurance to cover the event like car show, parade sports events, VIP Insurance is our carrier.

 Cherry Jubilee: Leslie had made a map of the town and we discussed where to have each venue and 

Martin thinks we can get about 20 venders. It was discussed if we should give like the cheer leaders a table to sell cherries and we decided we should just let them have the table out of good will

Cherry Run 3 K or 5 K. was discussed start at the Legion them down Bridge across the bridge. We need to talk to the city to see what we need to do for safety and all.

Beer and wine garden, Estaban said he would have a beer garden at Mi Pueblo

Steve Varrelman said he would give carriage ride with his wagon and horses.

A Low Rider club contacted us as well about being in the parade.

Jamaican food challenge George Brady  said to tell Jon Wyss that he has a group from Montana and he said they will challenge the Jamaicans in Brewster. It needs to be discussed more. Maybe they could be venders and have the competition amongst themselves.

We have a Cherry desert contest that is being planned 

 Martin is in charge of the 3 on 3 basketball venue.

 Leslie is going to do the History and Art booth together about the history of Cherries in our area. 

Anna wants a booth for the Chamber and we could sell the t shirts there and have a spin wheel that in order to spin they need to have a passport signed from different businesses.  They will get it stamped and then come spin the wheel Different businesses can donate something from their business for a prize.

We are putting on the vender application that they need to have something Cherry or a cherry theme. 

Crane and Crane is donating pies that we can sell

Anna’s daughter is making a poster for it.

 Leslie has made a volunteer sheet we are going to pass around at the Public meeting along with the Sign in sheet. 

We talked to the American Legion and asked them to open the parade with the colors and see if they can get their motorcycles to come as well. We are going to attend their meeting Wed March 7 at 6pm to ask formally for them to lead the parade. The legion said they would probably set up a beer garden as well.

So in summery we have: 

About 20 venders We may only have 6 tables with electric.

 Expecting about 100 to 300 visitors 

Hours 6:00 am venders at 8 closing at 10pm

Awards Luncheon: We decided to ask Camperos Mexican Restaurant to use their restaurant for the luncheon. Anna is going to talk to them. We will vote for the person of the year and businesses of the year at the meeting March 7.

Leslie has the application for an event to present to the City Council at their next meeting. All of the

Chambers officers are encouraged to be there. That meeting is March 14th   We adjourned at 1:00

Treasurer Report: Leslie McNamara- Checking $2970.09 Savings $10,025.93

City Report: Lee Webster- Water project still moving along. Chip seal still going, should be finished by the end of July or early August. Playground equipment should be finished by May 29

Boys and Girls Club- Brian –Fund raising is still going on. The Golf Tournament is still needing volunteers and sponsors. Summer camp is June 13 The 1st annual wine and Jazz festival in Chelan is giving all the proceeds to the Brewster boys and Gils Club.

Guest Speaker- Lew Blakeney presented a very detailed talk on how they help small businesses in our area.

Bouncing for Boobies amazing race was discussed   but no decisions made as to what we were going to do with it.

Cherries Jubilee: The Senior Center offered to have the pie tasting at their center which is going to be Friday before the event. The board will take that into consideration.

The 3 k run will be from the Jet on Main to Jackass Ranch on Sunset and back ending at the Armory. Everything else is moving along we still need to get the event approved by the City Council which is going up for vote at the next council meeting April 11.

 August Night out it was confirmed that the Chamber will again supply the free hotdogs, chips and water for the event.

Junior membership: it was voted at the Chamber Board Meeting that we would start a new membership a Junior membership for High School Seniors that will allow them to get their dues free and be members of the Chamber and they would be required to do 5 hours of service work for the chamber being either helping at the events or helping in other ways the chamber can decide, and  the time spent could go to their community service work required by the school if that was approved and the chamber would write letters of their service to be used for  jobs or collage.

Introductions: Introductions were made with each person telling about their business 

The senior Center reminded us of their lunches are not for seniors only.  12:00-12:30 Tuesday through Thursday.

 Julio with the Umpqua Bank will supply the refreshments at the next meeting which is May 2, at 9:00 at the Armory   Meeting adjourned at 10:00 pm

City Report: Kelly Hook Police Officer reported that there has been a string of graffiti around town and that if it happened to your business or residences report it and then you are required to get rid of it.

Guest Speaker: Chris Majors did a presentation on how to use FaceBook for your business and actually went live on Face book during his talk. Very informative talk

Old Business:

Membership drive has started with mailings to all registered businesses in Brewster.

Awards Luncheon: March 15th at Los Camperos at noon. The voting ends today March 7th at noon and the board will tally the votes.

Cherries Jubilee: March16, 2018 update. Anna went through what we have so far for the Jubilee, and we passed around a sheet to sign up to volunteer to help.

Grant Software Approval- The Board approved the purchase of Grant Software to facilitate in obtaining grants for updating our Main street.

New Business: Eric  the superintendent  Brewster  School asked if the Chamber would keep the money in our account for the upcoming Levi, as the Chamber has before. It was tabled for discussion with the board.

Community Roundtable-Introductions- Every one introduced themselves and told a little of their business.

Guest speakers: Maurice Goodall Emergency Manager Okanogan County and Nattalie Cariker Brewster Police Chief. Maurice explained how to set up our phones to get alerts about emergencies in our area.

We were honored to have Maurice Goodall Okanogan County Emergency Management and Chief Nattalie Cariker Brewster Police Department talk to us this morning at the general Chamber meeting about community and business safety.

The Emergency Management Department aids in responding and recovering from emergencies in our county. To ensure that you receive EMERGENCY NOTIFICATIONS, you can sign up through okanoganDEM.org -text your zip code to 888777. It is critical that you register your complete and ACCURATE address when signing in to the web site! This applies to both businesses and individual household members.

Chief Cariker updated us on the City's efforts this year to CLEAN UP the ALLEYS around town. It is important, for safety and fire concerns alike, to not park, block or dump anything in the alleys. If you have yard refuse to dispose of, please contact the City for a burn permit, or take your yard debris to the cemetery on Thursdays ONLY from 9am to 2pm. The City will also be citing owners of JUNK VEHICLES if these vehicles remain after receiving warning notifications. Nattalie suggests the Chamber start the phone tree back up with getting business together and have numbers to call.

Upcoming Events:  

Cherries Jubilee updates – everything is going as planned, the committee chairs are Anna with the Car Show, Mike with the Parade and Martin with the 3k run and Ed with the 3 on 3. The Armory with Manny and Martin is having a beer and wine garden. They will be building a stage for the music. Grovers will be donating some supplies to help with the stage. Leslie is taking care of the vendors and all the forms and money.  The American Legion will also have a beer garden as well as the store across the street from the Armory. Billy Bosch with Real life church will be having the bouncy house. 

National Night out- The chamber is going to be giving free hotdogs and water.

City Update-Lee Webster- City residents’ tree and yard debris dump at the Cemetery open Sept 19, for more times and dates call the City Hall

Special Speaker – Marcus Alden with the Work Source.  Very good information for businesses on using their apprentice programs and getting trained workers at your business.

 New Business: Police Chief Nattalie gave an update on the Community Care Fund to help people in need before other help can be had. She had the first meeting and is still in the planning stages and will announce more meetings come up

Pateros Chamber closing, it was brought up maybe merging or taking over some of their events. We will discuss that more later.

 Future Calendar dates: 

Halloween costume contest – Avis volunteered to take care of it as she has been doing it for years. Pedro usually buys the trophies.  The Chamber will make up fliers to hand to businesses to let them know about it.

Los Posadas- Dec 8th we are looking for sponsors and hope to start earlier to avoid the cold some.  We need to try to find a different place for the inn if the weather is freezing as the Armory is not permitted to have the public come in to the build for a function. We are also working at getting the cost down and get sponsors to take care of the cost maybe donate the food.

I.       By-Laws

The by-laws that Chris reworked and had presented were approved as is to be brought up for approval at the next general meeting Sept 6th.

Anna, Mike, Martin, present at the meeting and Chris, Brian, and Dan by email all approved the by-laws.

II.     Discussion

Signs in town on the stores in English and Spanish was talked about.

 Salmon Derby venders for food was discussed and will be brought up again next year before the Derby

Need to get a thank-you card to Washington Tractor for the use of their Quad for the derby. Report from Martin is very few took advantage of the service, so will be discussed more before the Derby next year to see if we want to do that again.

 Discussion on what to do about the Treasurer resigning, does one of the current board members want to step up and take on the duties until the next election?  Anna has asked Leslie to stay on until we find a replacement or at least until the end of the year. No word back yet on that. It was decided we will try to fill the position with out having a present board member do it.

Upcoming Events;

Halloween Costume Contest

Avis volunteered to handle it. The Board members will be the judges, we need to make a flyer to hand to businesses in town so they can participate

Los Posadas- Dec 8th.

We are checking with other places to maybe have the inn at a different place than last year and Dan is going to check with the Senior Center about having it there. The Legion was also brought up as maybe a place. Dan suggests we wait until Dec 3 to actually have the spot as we can check the weather at that time and if we are not having a super cold spell we could have the Inn at the Armory with a fire and a few tables in the store.

Manny says they will have the tree there and maybe light it at the Los Posadas but Anna is thinking to have it early like right after Thanksgiving on small business day and will get ahold of Lee and see if we can get the city to coincide with the lighting of the tree when they light up the city light and have businesses light up there places as well.

Suggested maybe we can get the cheerleaders from the school to have hot chocolate or something.

Sponsors for Los Posadas, we are going to ask like we did last year for business to help with the cost.

 We are going to cut down on the food an hope to lower the cost to $1000.00 or less, and have the sponsors pay that.

 Anna Marie pledged $100.00, Mauk Fishing Stuff pledged $100.00, Webster’s pledged $50.00,The Armory is donating the pinatas and the candy

Events 2019- Citizen and business of the year we want to carry on with that and hand out ballets for nominations at the meeting in Jan during election month.

Cherries Jubilee- some was discussed about the 3 on 3 and the car show. We also have a line on a guy that does CCR covers and we may can get him to play for one of the bands for the Jubilee. We hope to have music all day with several bands. We will start advertising for sponsors right after the 1st of the year.

We discussed Anna’s idea of having g a 2 year term limit  and it will need more but Mike and Dan do not think it is a good idea. We would like to have a communications and membership director. We need to discuss that more. Anna has heard that the Hydro plane folks that do Pateros are thinking of doing one in Brewster, that needs more discussion as well.

Treasurer Report: $8720.00 Savings

Minutes from Nov meeting not approved -no quorum

Nominations for Officers and Board- passed out to everyone to be filled out and handed in before end of meeting for tally of Ballots  

Boys and Girls Club update- Heather- 2 big events coming in December Cops and Kids Dec 15, 10:00 to 1:00pm. Still needing donation of gifts mostly for the adults and teenagers. Needing volunteers to wrap presents
Family Night Dec 22

Police City report- Avis- Nattalie could not be at the meeting but wanted to remind people that the Cops and Kids hours are moved earlier to 10 am to 1 pm.
Avis also said the Brewster Market Place has a Tree up where you can make monetary donations that will go to the Senior Center and the Food Bank.

Circus: Anna updated us on the Circus that the Chamber has approved to pay for, the date is June 7,2019 and we need to get the final ok to have it at the city soccer field down by the Community Center.

Los Posadas- This event is for giving back to the community.  We will have free food and candy and Hot drinks. We are asking for donations from Businesses. The ones that have donated so far are Anna Marie, Mauk Fishing Stuff and Webster Furniture. We have not heard from anyone else as we are waiting for an update from the Committee.

Info book and Vacationland Omak Chronicle- Pam- The dead line is Dec 18 for the Info book. She presented what we did this year and we discussed it. This year the Chamber payed to have the Businesses names and info on our page and the Chamber gets a 1-page ad for free the cost is $11.00 for each business.
A motion was made to do the same as last year with the Chamber paying the cost for the businesses second and approved
Chris Majors said he would help and make sure the artwork is good and the businesses are correct.

Vacationland book we will talk more about that, Pam will contact the City and Salmon Derby to see if they want to split the cost for the back-page ad again. We have first choice the deadline is Jan 2019

We then had introductions with each person telling about what they have going on.

The next meeting is scheduled for Jan 9th, 2019 at 9:00am at the American Legion.

Events:

March

St Patrick’s Day Parade was discussed and the Board has decided not to sponsor it but will participate in it if it is put on. Martin and Manny are working on the details himself and will bring the information to the Chamber.

Award luncheon

March 15, 2018- 

We have received 3 nominations for Person of the Year 2017.

We discussed awards for the best large business and the best small business

Chamber will pay for 3 lunches of the awards winners and plaques. So we will figure $100.00 will cover that.

 We can advertise on social media and maybe have the luncheon at Gamble Sands.

Business of the year it was suggested that Gebber’s be nominated for big business and The Armory for the Small business but nothing was decided at this time

Cherry Jubilee: 

June 16, 2018, 

Anna Marie is the Committee Chair person. 

Anna envisions a car show, venders, band, everything cherry- pies etc. bandstand maybe at the park with a dance floor like an old fashioned dance with different kinds of music. Parade. The chamber could have shirts made and stuff like that. Cherry pie eating contest. 

3on3 basketball was suggested.  We need to look in to that. Martin says to contact Naomi Pasley,(sp) she  is involved with that. Need to make sure it doesn’t interfere with any other towns celebrations . We want to see about using the basketball court at the park.

4th of July-

 Need to talk to Brian before we schedule anything for the 4th to make sure it doesn’t interfere with what the Boys and Girls Club has going on

We are going to need a parade coordinator, and a booth was suggested for the chamber.  Try to have a 3 on 3 basketball contest. 

Talk to car clubs to see if we can get any to come on the 4th.

See if we can get vendors at the armory to coincide with the parade

We sponsor free swim at the Brewster pool. 4th of July

August:  

 National Night out August 2

Salmon derby August 3, 4, and 5th

Suggested to have a salmon dinner. Anna knows we can get salmon donated by the tribes so that would be a way to raise money. 

October:

Halloween: costume contest the Chamber will still sponsor that as most of the prizes are donated by

Pedro so the cost is minimal to the Chamber

December

Los Posadas-

  Dec 8, 2018.  Martin says we can get the cost down from last year at least $500.00.  We are going to talk to Lee Webster and see if he can have the lights and decorations on the poles around town for that.

Winterfest: We will wait and see if we want to be involved later. As we will have Los Posadas for our winter event.

Motion was made to purchase Grant Sourcing Software from Okanogan Economic Alliance for $70.00 seconded and approved.

Membership forms:

 Leslie is working on getting a list of reasons for people to want to join the Chamber. We want to get this done to send out with the membership forms. It will be the short list and the expanded list will be on the web site.

Leslie talked about doing a 2 minute live video with the chambers businesses and have that on the web site. 

Discussed that when buying items for events the chamber is sponsoring to split among the Chamber Business members.

Budget:

Projected income is $4645.00 and we are at $5000.00 already going out

Leslie is working on the budget report and will present it at the next General meeting

Announcement of New Officers 2018

Moving forward- Anna suggests that we as a chamber may need to put to a vote as to our mission. The chambers primary focus is we are not event planners. We do not want any more events to be asked on to the Businesses for donation, if the Chamber is putting it on the Chamber will pay for it. If it is a fund raiser it will be for some cause the community needs .We believe the chamber should be promoting the businesses. 

We will have more events on the calendar, like the Cherry Jubilee. We need to make Brewster the town people want to come to.

City Report:  Lee Webster- Trees are done cost $10,810.00- the Chamber agreed at the Sept 6, 2017 meeting approved to pay a max amount of $2000.00.

Airport project is nearing completion, Water project is still going on. PUD is replacing the restroom no time frame yet

Anna suggests like a ribbon cutting when the bathrooms are complete and we can open it up with the new trees and playground equipment. We will discuss this when time gets closer.

Boys and Girls Club Holiday update- Avis said everything went great with about 748 gifts being sold for

$1.00 each. A really nice turn out and no problems

Los Posadas’s update- Martin said it went well, but the weather was very cold. We may try to change the date next year to earlier in the month it may be warmer. He said it was a full house at the end at the INN, with over 50 people

Info book and vacation land ad- Chris has the full page ad done for the vacation land book that will have our local businesses listed.

Monthly meet-ups- starting this year- Jan 24, 5:30 at Coldwell Banker, Anna’s place on Main Street. This will coincide with the membership drive. Anna wants to go over the membership form and make sure to add what the businesses have to offer so it will be on the web site. Chris says to add a sentence saying that if you want your logo on your ad to email it to him and he will take care of that. 

 Motion to get Chris to be the web master- he offers in trade for membership in to the chamber to do the basic web updates. Any extra he will negotiate at that time.  Second and Motion approved- Chris is the webmaster for the Brewster Chamber of Commerce website

 4th of July concession- last year we talked about maybe moving the concessions down to 7th street, not at the cove. But it may be too late to actually do that as reservation started on the 1st. Nothing was decided needs more discussion. We need Brian from the Boys and Girls Club to voice what they want as they are in charge of the concessions. More discussion later.

Chris suggested making a committee to take care of the 4th of July 

Motion to have Martin chairperson  of the 4th of July committee second and Motion approvedMartin is the Chairperson for the 4th of July Committee. Chris and Anna volunteered to be on the committee so far.

Business and or Citizen of the Year:  Last year we tentatively decided to have a business of the year and or a person of the year. We decided to send out emails to the members asking for nominations for business and citizen of the year   including why.  That will go out soon and needs to be back in by the 19th and the board will have a meeting to go over the results and vote for the winner at the Feb regular meeting. 

Avis nominated Jason Allen   on the Fire department and is instrumental in community relations making sure the Fire Department in at all the community events. As well as other really nice things he does for the community.

 Martin suggests we have a St Patrick’s Day with a parade and maybe decorate the town.  Having a parade in the mid morning and maybe get dance groups or whatever. 

Motion for the Chamber to sponsor a St Patrick’s Day parade second and Motion approved- Martin volunteered to be the chair of the committee

   Plaque or Sticker for Businesses- Anna suggests a plaque or sticker on their business window saying they are a member Leslie suggested plaque and make it so the year can be added each year. Anna is going to work on that. 

  Announcement- Anna has Keith Johnson coming to her office using her space teaching a beginner Spanish class starting this week- Jan11, Monday and Thursdays at 5:30 the cost is $10.00 Contact Anna for more information

Cherry Jubilee- Anna volunteered to be the Chair for that committee with most of the board offering to help as well. No date has been set. June was suggested due to July being a busy month

Welcoming packets- Leslie suggested making a packet for new businesses and individual family’s with information on what the town and business have to offer. A Welcoming Packet or Basket. We will discuss it  more soon.

 Speaker February Meeting- Christy O’Neil the Business Resource Person for Work Source is coming to the meeting next month to speak. 

Alta Lake Parks and recreation folks want to come talk with the Chamber about what they have to offer.

Announcement- Chris announced that the Hospital has been in the Black for 6 months! They are moving the clinic to the administration office and moving the ER to the clinic space. It will be much more efficient.

MINUTES: Oct 4, and Nov 6 regular meeting minutes approved

GUEST SPEAKER: Roni - Executive Director with Economic Alliance with a very nice detailed presentation on how they help small businesses and what they offer. Asking for the Chambers help with zoom prospector in finding absentee owners of empty stores in their areas. She left brochures and information for everyone to check out. Christy  O’Neil the Business Resource Person for Work Source is planning on coming to next month’s meeting.

TREASURER REPORT: Chris Majors- Savings-10,024.59 Checking 4821.58

CITY REPORT: Lee Webster- The trees are trimmed at the cove and the carver wanted to start this Fall on the trees but then it turned winter and plans to start in the spring.  The Playground money is in now waiting on final decisions and will start in the spring. Plans to upgrade the restrooms and the PUD is planning on putting in new restrooms at the cove. Airport project with new runway lights and updated electrical work. Okanogan Housing Authority has acquired the Brewster Housing authority.

Cops and Kids Winter Celebration Event at the Boys and Girls Club is the 16th   1 to 4 pm. Santa will be there the whole day. Sled safety program giving away 20 sleds. Christmas shop and manger mall .Nattalie is trying to get someone to run the manger mall. Cocoa and cookies. Boys and girls club doing a Carnival and games and craft table and lots of other fun things.. Fire Dept has list of names for people that need help and there are 2 boxes one at the Brewster market place and one at the Brewster Drug hoping to hand out presents before Christmas.

BUSINESS:  Vacation land and info book Omak Chronicle- Pam- for the Vactionland phamlet it was decided at the Nov meeting that the Chamber will go in with the City and the Salmon Derby to take the back page. Chris Majors was appointed in charge of the design. The Chamber is putting in $1000.00, the Salmon Derby -$800.00 and the city $1200.00. Chris Majors is doing the design. 60k printed ,10k stay county wide , and 50k go down the I-5 corridor and Canada. In hotels motels and service stations etc.

INFO BOOK Also the Chamber is buying a page in the Chronicles INFO book, which has one full page open to the Chamber and another for the Chambers businesses to add their information at $11.00 per business. The  Chamber is going to pay for the businesses using the annual fees, making it part of the package for joining the Chamber. Dead line for getting the information to the Chronicle is Dec 27.

UPCOMING EVENTS:

LAS POSADAS: Martin- Everything is coming along and the tamales are ordered and some donations are coming in with about $700.00 received so far with hope of getting enough to cover the costs. Martin figures $1,500.00 will cover everything. 

Starting at La Milpa and going up Main Street ending at the INN at the Armory. They are buying 1000 tamales and will have piñatas and caroling. There are already 5 businesses that are on board and have donated. Martin is asking churches if they want to set up a stage and do the reenactment of Christmas.

Martin plans on having fire pits. Lee said that we should put in an event application it is easy and if there is a lot of people show up it is necessary.

Anna is working on a Banner saying the Chamber is sponsoring along with the businesses.

Some of the donated money will be used for radio advertisement, and we are advertising in papers and other media.

Motion was made to donate to the Las Posadas for $300.00, seconded and approved.

Kiwanis asked for donations for their scholarships, Motion to donate $25.00 seconded and approved.

Membership drive in Jan. those who paid in Sep or later in 2017 they are already paid for 2018.

 Anna is working on getting decals or signs for businesses that say you belong to the chamber.

 Monthly Business Meet-ups- Asking for businesses to open their doors to other business after hours.

 Anna said Coldwell Banker will do Jan. at her office. 

Dan Webster says he will do Feb.

Sweet T’s will host one when it warms up!

Senior center is having a Christmas Giving Tree and they selected a family, she is a single mother with 4 young children2 are school age and 2 are toddlers. Those that want to help can go to the center and take a card from the tree sign it and return it with a gift by Thursday Dec21. The gifts will be delivered Dec22.They are also providing a Christmas dinner and donations are welcome for the food basket as well.

City Report: Lee Webster-working on getting solar panels for the rec building is in the works. Water project still on going. New slide at the playground in the park.

Guest Speaker: Ken Mattson with Scope. He is the new chapter chairperson and would like to get a person from all the chambers to help by setting up a work shop to help businesses. Great presentation and Mike Mauk will follow up with him about helping setting up a work shop with the Chamber.

Guest Speaker: Steve Brown who is running for Okanogan County Sheriff. Very nice talk.

Events: Trick and Treating downtown and the costume contest. Avis has been appointed as chair person for the costume contest and will get the trophies and will give the bill to Pedro who has bought the trophy’s for years. The judges for the costumes are Manny, Leslie and Anna Marie.

The Boys and Girls Club is having the Harvest Festival after the trick and treating downtown and is looking for volunteers.

Heather Carrington is the new interim Director of the Boys and Girls Club and gave an update on their activities They are looking for volunteers and also have a few paying jobs needing filled.

Los Posadas: Dec 8, still in the early planning stages, Manny and Martin are in charge of that.

3 rivers hospital are having a fund-raising dinner $25.00 each with a silent action in Pateros Nov8. Mike Maltais with the Quad City Herald telling how the Brewster Senior Center is in dire need of help and are real close to having to close their doors. Special Speaker – Marcus Alden with the Work Source. Very good information for businesses on using their apprentice programs and getting trained workers at your business.

New Business: Police Chief Nattalie gave an update on the Community Care Fund to help people in need before other help can be had. She had the first meeting and is still in the planning stages and will announce more meetings come up

Pateros Chamber closing, it was brought up maybe merging or taking over some of their events. We will discuss that more later.

Future Calendar dates:

Halloween costume contest – Avis volunteered to take care of it as she has been doing it for years. Pedro usually buys the trophies. The Chamber will make up fliers to hand to businesses to let them know about it.

Los Posadas- Dec 8th we are looking for sponsors and hope to start earlier to avoid the cold some. We need to try to find a different place for the inn if the weather is freezing as the Armory is not permitted to have the public come in to the build for a function. We are also working at getting the cost down and get sponsors to take care of the cost maybe donate the food.

City Update- Lee Webster- Chip sealing complete. Sewer system grant to doing a general sewer plan to get a GIS map of the sewer system. Partnered with child development center, OCCA to redo the bathrooms at the boys and girls club. Airport putting gravel down on the edges to keep the dust down DOT is putting in a left hand turn lane on 97 south of town and reduce the speed limit to 50mph

Special Guest speaker- Mike Mauk with Mauk Fishing stuff on trip to Washington to DC

Salmon Derby- Mike reported no venders had signed up so we asked if maybe we could use the reserved area for renting to overnight camping and Lee thinks we would most likely not be able to as the event application was for vendors not campers. So we will let the city know if we want to just have them open it for what ever. We are hosting rides back and forth from the launch

National Night out- the chamber is hosting free hotdogs and soda and water during the event. Brewster Market place has arranged to get the soda and hotdogs donated from their suppliers. The Armory will do the cooking. 4:00 to 7:00

Nattalie is planning on starting a community care fund which is an assistance fund to help ones in need before they can get other help. There will be a meeting later in the month.

Road Cleanup-

Leslie reported that we had 4 board members to do the clean-up. We picked up 22 bags and did about 1 mile of the 2 miles we signed up for. We will plan to do it at some other time.

City Report: Lee Webster- Water project still moving along. Chip seal still going, should be finished by the end of July or early August. Playground equipment should be finished by May 29.

Boys and Girls Club- Brian –Fund raising is still going on. The Golf Tournament is still needing volunteers and sponsors. Summer camp is June 13 The 1st annual wine and Jazz festival in Chelan is giving all the proceeds to the Brewster Boys and Gils Club.
Guest Speaker- Lew Blakeney presented a very detailed talk on how they help small businesses in our area.

Bouncing for Boobies amazing race was discussed but no decisions made as to what we were going to do with it.

Cherries Jubilee: The Senior Center offered to have the pie tasting at their center which is going to be Friday before the event. The board will take that into consideration.
The 3 k run will be from the Jet on Main to Jackass Ranch on Sunset and back ending at the Armory. Everything else is moving along we still need to get the event approved by the City Council which is going up for vote at the next council meeting April 11.
August Night out it was confirmed that the Chamber will again supply the free hotdogs, chips and water for the event.

Junior membership: it was voted at the Chamber Board Meeting that we would start a new membership a Junior membership for High School Seniors that will allow them to get their dues free and be members of the Chamber and they would be required to do 5 hours of service work for the chamber being either helping at the events or helping in other ways the chamber can decide, and the time spent could go to their community service work required by the school if that was approved and the chamber would write letters of their service to be used for jobs or collage.

City Report: Kelly Hook Police Officer reported that there has been a string of graffiti around town and that if it happened to your business or residences report it and then you are required to get rid of it.

Guest Speaker: Chris Majors did a presentation on how to use FaceBook for your business and actually went live on Face book during his talk. Very informative talk

Old Business:
Membership drive has started with mailings to all registered businesses in Brewster.

Awards Luncheon: March 15th at Los Camperos at noon. The voting ends today March 7th at noon and the board will tally the votes.

Cherries Jubilee: March16, 2018 update. Anna went through what we have so far for the Jubilee, and we passed around a sheet to sign up to volunteer to help. So far we have:

Grant Software Approval- The Board approved the purchase of Grant Software to facilitate in obtaining grants for updating our Main street.

New Business: Eric  the superintendent  Brewster  School asked if the Chamber would keep the money in our account for the upcoming Levi, as the Chamber has before. It was tabled for discussion with the board.

Community Roundtable-Introductions- Every one introduced themselves and told a little of their business.

County is doing the chip sealing on the city streets. Their costs are lower than anyone else and a lot cheaper than the city can do it.
Looking at completion end of March or 1st of April.
Working on well locations and property rights issues for the water project.
Boys and Girls Club- Brian Paine- regional B&G club going on in E.Wenatchee is in the works.
Big Golf Tournament going on at Gamble Sands May 21, and they are needing lots more help, volunteers mostly. Looking for sponsors they have plenty of golfers. They have partners with Siren Soft winery out of Chelan now 3 days prior to the golf tournament the Chelan Wine and jazz festival they are looking at sell 750 to 1000 tickets and all the proceeds will go to the Brewster B&G club
Check in at 10 am Monday May 21 contact Brian to volunteer.
Always looking for volunteers at the B&G center. They will do the Easter egg hunt. They are working on their web site and the info will be on that as well.

Anna, Leslie and Mike got together and stuffed envelopes with the new membership application for 2018 as well as new Benefits of Membership form and questionnaire, and the awards Nomination form and they were being mailed out to all the businesses listed with the City for 2018.

Cherry Jubilee- We have set the date for June 16th for our 1st annual Cherry Jubilee. Anna is the head of
the committee with all the board members helping out.

The info and vacation books ads- The info book is out and Pam with the Chronicle gave us an update.

beautiful pictures and all. These books will be up and down the I-5 corridor and in motels and hotels
across the state.

Dec 6, 2017 meeting minutes read and approved Announcement of New Officers 2018 Anna Dalbey -President Martin Hurtado- Vice President Mike Mauk -Secretary Leslie McNamara -Treasurer Directors- Chris Majors, Dan Webster, Manny Hurtado Moving forward- Anna suggests that we as a chamber may need to put to a vote as to our mission. The chambers primary focus is we are not event planners. We do not want any more events to be asked on to the Businesses for donation, if the Chamber is putting it on the Chamber will pay for it. If it is a fund raiser it will be for some cause the community needs .We believe the chamber should be promoting the businesses. We will have more events on the calendar, like the Cherry Jubilee. We need to make Brewster the town people want to come to.

City Report: Lee Webster- Trees are done cost $10,810.00- the Chamber agreed at the Sept 6, 2017 meeting approved to pay a max amount of $2000.00. Airport project is nearing completion, Water project is still going on. PUD is replacing the restroom no time frame yet Anna suggests like a ribbon cutting when the bathrooms are complete and we can open it up with the new trees and playground equipment. We will discuss this when time gets closer.

Boys and Girls Club Holiday update- Avis said everything went great with about 748 gifts being sold for $1.00 each. A really nice turn out and no problems.

Los Posadas’s update- Martin said it went well, but the weather was very cold. We may try to change the date next year to earlier in the month it may be warmer. He said it was a full house at the end at the INN, with over 50 people Info book and vacation land ad- Chris has the full page ad done for the vacation land book that will have our local businesses listed. Monthly meet-ups- starting this year- Jan 24, 5:30 at Coldwell Banker, Anna’s place on Main Street. This will coincide with the membership drive. Anna wants to go over the membership form and make sure to add what the businesses have to offer so it will be on the web site. Chris says to add a sentence saying that if you want your logo on your ad to email it to him and he will take care of that.

Motion to get Chris to be the web master- he offers in trade for membership in to the chamber to do the basic web updates. Any extra he will negotiate at that time. Second and Motion approved- Chris is the webmaster for the Brewster Chamber of Commerce website.

4th of July concession- last year we talked about maybe moving the concessions down to 7th street, not at the cove. But it may be too late to actually do that as reservation started on the 1st. Nothing was decided needs more discussion. We need Brian from the Boys and Girls Club to voice what they want as they are in charge of the concessions. More discussion later. Chris suggested making a committee to take care of the 4th of July. 

Motion to have Martin chairperson of the 4th of July committee second and Motion approved- Martin is the Chairperson for the 4th of July Committee. Chris and Anna volunteered to be on the committee so far.

Business and or Citizen of the Year: Last year we tentatively decided to have a business of the year and or a person of the year. We decided to send out emails to the members asking for nominations for business and citizen of the year including why. That will go out soon and needs to be back in by the 19th and the board will have a meeting to go over the results and vote for the winner at the Feb regular meeting. Avis nominated Jason Allen on the Fire department and is instrumental in community relations making sure the Fire Department in at all the community events. As well as other really nice things he does for the community.

Martin suggests we have a St Patrick’s Day with a parade and maybe decorate the town. Having a parade in the mid morning and maybe get dance groups or whatever.

Motion for the Chamber to sponsor a St Patrick’s Day parade second and Motion approved- Martin volunteered to be the chair of the committee. 

Plaque or Sticker for Businesses- Anna suggests a plaque or sticker on their business window saying they are a member Leslie suggested plaque and make it so the year can be added each year. Anna is going to work on that.

Announcement- Anna has Keith Johnson coming to her office using her space teaching a beginner Spanish class starting this week- Jan11, Monday and Thursdays at 5:30 the cost is $10.00 Contact Anna for more information.

Cherries Jubilee- Anna volunteered to be the Chair for that committee with most of the board offering to help as well. No date has been set. June was suggested due to July being a busy month.

Welcoming packets- Leslie suggested making a packet for new businesses and individual family’s with information on what the town and business have to offer. A Welcoming Packet or Basket. We will discuss it more soon.

Speaker February Meeting- Christy O’Neil the Business Resource Person for Work Source is coming to the meeting next month to speak. Alta Lake Parks and recreation folks want to come talk with the Chamber about what they have to offer.

Announcement- Chris announced that the Hospital has been in the Black for 6 months! They are moving the clinic to the administration office and moving the ER to the clinic space. It will be much more efficient.

7) City report:
Lee Webster Reservoirs are complete They will do their Christmas decorations before Thanksgiving after the town is winterized. Brewster received the Drinking water award 12 million $ in water improvements Street Sweeper is broke waiting on parts but they are very happy with the work it can do Tree carving: Lee met with him and he looked at the trees and thinks he can get a small black bear out of one and a fish out of one. He did say that he is open to suggestions but the final decision will be the carvers so far the Derby has put money in the City has put money in. The Chamber has already approved up to $2000.00. Christmas tree lighting-The city does not have a boom truck to get lights up. Lee doesn't recommend the tree at the Legion. The tree at Martha's park by the Post Office was mentioned but Mike brought up the fact there is no parking around it and it would be hard to have any type of event there. Umqua Bank tree was mentioned. It was mentioned again to have a tree brought in and set up at the Armory, and Martin said it would be fine but would need a crane to raise it. Yellowjacket construction for boom was mentioned. No decisions. Lee said the playground equipment for the cove park is in the works PUD is putting a new restroom at the launch as well. The city is upgrading the electrical hook-ups in the RV park by the Pool

8) New Business:
Christmas: Family Health Center wants to get involved with the food distribution, she will contact Martin and the Food Distribution Committee about it. Martin appointed as chairman of the Christmas committee Suggestions to piggyback with the boy's & girls club Christmas festival on the 16th. Suggested to have a posada, and having it in the morning before the festivities start at the Community Center. Martin has all kinds of ideas and has offered his business the Armory as a place to have them or at least be a part of.

Nicole Riggan Smith: with New Start Clinics in Brewster, Moses Lake, and Wenatchee and also Okanogan Passed out a flyer and gave a very nice informative talk on what they offer. Chris said the Three Rivers Hospital is starting an old prescription drug drop off box.

Pam Fancher with Chronicle brought information about advertising in the 2018 paper supplements, the Info Book that stays local and also the Vacationland books that are distributed up and down the I-5 corridor. Info book -if the Chamber buys an ad there the Chambers businesses can get their businesses listed for $11.00 per business. Motion was made by Dan Webster to buy a 1/4 page ad for the Info book and for the Vacationland supplements. Chris Majors 2nd and was approved. More discussion is needed on who will pay the $11.00 for the business listing. Chris suggested that the Chamber pay it the first year and then add the cost on to the membership fee or use it as a way to get other businesses to join the Chamber. The city suggested the city and the chamber get ahold of the Derby and split the cost for a full back page in the Vacationland supplement. The cost is $3,017.00. Lee called Lori with the Derby and they are interested but need to talk it over with their Board. Lee and Avis said the city is on board and if the Derby comes in, the chamber will have a special meeting and seek approval. We told Pam we are interested but if someone jumps in and pays before we get back to her then so be it Chris was appointed to take care of the ads and to be the one that communicates with Pam and the Chronicle.

Operation Christmas box: Pastor Greg and the Calvary church is doing this. It is to give a shoe box present to needy children in foreign lands. We did not discuss it, but can contact Pastor Greg at the Calvary Church for more information Meeting Adjourned at 10:26 AM
